Senior Executive - Project Secretariat

A highly organised and detail-oriented professional is required for the position of Senior Executive - Project Secretariat. The role involves providing essential support in project governance, coordination, and administration across multiple strategic initiatives. The incumbent will coordinate project activities, support meetings, maintain accurate documentation, and ensure timely tracking of actions and deliverables. The role also requires close collaboration with project teams and senior stakeholders to ensure alignment, compliance with governance standards, and effective reporting to support decision- making.

Job Responsibilities
  • Provide end-to-end secretariat support for project meetings, including scheduling, agenda preparation, minute-taking, and follow-up actions.
  • Coordinate with internal and external stakeholders to ensure timely completion of project deliverables.
  • Maintain accurate project documentation, reports, and records in line with governance standards.
  • Track project progress and support project managers in monitoring timelines, risks, and dependencies.
  • Prepare presentations, reports, and dashboards for senior management review.
  • Ensure compliance with internal processes and project management frameworks. 
  • Facilitate communication between project teams and leadership to ensure alignment.

Candidate Profile
  • Bachelor's degree in Business Administration, Project Management, or a related field.
  • Minimum of 5 years' experience in project coordination, project administration, or secretariat functions.
  • Strong organisational and multitasking skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Ability to work independently and manage multiple priorities under tight deadlines. 
  • Experience in corporate or large-scale project environments will be an added advantage.
