The Senior Sales Operations Coordinator is a senior individual contributor role responsible for driving the day-to-day operational excellence of Nova Corp's commercial function. Building on a strong coordination foundation, this role takes ownership of complex processes, serves as the go-to point of escalation for the sales team, and plays a central role in ensuring the revenue engine runs smoothly across Sri Lanka and our international markets.
This role suits an experienced sales operations professional who works with a high degree of independence, can mentor and guide junior coordinators, and brings the commercial awareness to handle complex proposals, vendor relationships, and client accounts without close supervision.

Key Responsibilities
Sales Support & Senior Client Engagement
- Serve as the senior point of contact within the sales operations team — handling escalated client queries, complex sales cycles, and time-sensitive requests with confidence.
- Support the sales team with scheduling, materials preparation, follow-ups, and account coordination, ensuring nothing falls through the cracks.
- Maintain and continuously improve sales collateral, pitch decks, and service documentation, ensuring the team is always pitch-ready.
- Guide and mentor junior Sales Coordinators on day-to-day processes, quality standards, and client communication best practices.
- Proactively identify gaps in sales support processes and recommend practical improvements to the sales team and management.
Proposal Management & Quality Assurance
- Take end-to-end ownership of high-value and complex client proposals — coordinating inputs from technical, finance, and vendor teams to deliver accurate, compelling submissions on time.
- Review and quality-check proposals prepared by junior team members before submission, ensuring accuracy, correct pricing, and professional presentation.
- Maintain the proposal library with version-controlled templates, approved service descriptions, and current pricing — keeping it organised and always up to date.
- Track proposal status across the pipeline (sent, under review, accepted, lapsed) and proactively follow up to maintain momentum.
- Analyse proposal outcomes and share observations with the sales team to support continuous improvement in win rates.
Vendor & Supplier Coordination
- Build and maintain strong working relationships with key vendor and supplier contacts — Microsoft, Sophos, CrowdStrike, Fortinet, Adobe, Autodesk, and others.
- Coordinate quote requests, pricing validations, and discount approvals efficiently, handling escalations where standard processes are insufficient.
- Stay current on vendor programs, incentives, licensing changes, and partner portal updates, and communicate relevant changes to the sales team.
- Maintain vendor compliance records and renewal schedules to support Nova Corp's partner program standing.
License & Order Processing
- Process license, subscription, and product orders accurately — verifying SKUs, quantities, pricing, and delivery timelines before confirmation.
- Maintain the master license and subscription register, tracking renewal dates and contractual terms to drive proactive client renewals.
- Coordinate post-order handoffs to the technical team, ensuring smooth provisioning and client onboarding with no delays.
- Handle order escalations, supplier delays, and discrepancies efficiently, keeping clients and the sales team informed throughout.
Invoicing & Payment Follow-Up
- Ensure client invoices are generated accurately and released on schedule in line with contracted billing arrangements.
- Maintain a structured invoice tracker covering sent, acknowledged, overdue, and paid status across all accounts.
- Manage payment follow-up professionally and persistently, escalating overdue accounts to management with a clear status summary.
- Coordinate with Finance to reconcile payments and resolve billing queries or disputes in a timely manner.
- Identify recurring billing issues and flag them to management with proposed remedies.
CRM Integrity & Reporting
- Maintain accurate and up-to-date CRM records — pipeline stages, activity logs, contact details, and deal histories — as the team's CRM champion.
- Prepare weekly and monthly reports on pipeline health, proposal status, invoice aging, and order fulfillment for management review.
- Identify data gaps or inconsistencies in CRM records and work with the team to resolve them proactively.
- Support the adoption and correct use of CRM tools and sales systems across the commercial team.
Cross-Functional Coordination & Client Experience
- Act as a reliable bridge between Sales, Finance, Technical Delivery, and Marketing — ensuring handoffs are clean and commitments are met.
- Ensure all client-facing interactions reflect Nova Corp's standards of professionalism, responsiveness, and technical credibility.
- Support onboarding of new clients, coordinating with technical and finance teams for smooth service activation.
- Contribute to the operational support of Nova Corp's international accounts across Australia, Canada, and other active markets.
Qualifications & Requirements
Essential
- Bachelor's degree in Business Administration, Marketing, Commerce, or a related field.
- Minimum 3–5 years of experience in sales operations, sales coordination, or a similar commercial support role — with demonstrated progression to a senior level.
- Prior experience in a technology, IT services, or cybersecurity company is strongly preferred.
- Proficiency in Microsoft 365 — Teams, Outlook, Excel (intermediate to advanced), SharePoint, and PowerPoint.
- Hands-on experience with CRM tools (Odoo, Zoho CRM, HubSpot, or Salesforce) at a confident user level.
- Excellent written and verbal communication skills, with the ability to manage client and vendor correspondence professionally.
- Strong organisational skills, attention to detail, and the ability to manage multiple priorities without close supervision.
Preferred
- Familiarity with Microsoft licensing, CSP programs, or cloud platform commercial structures (Azure, AWS, Google Cloud).
- Experience working alongside or within a managed services, MSSP, or vendor partner ecosystem.
- Exposure to international client accounts or cross-border commercial operations.
- Experience mentoring or guiding junior team members in a sales support environment.
- Comfort with reporting, basic data analysis, and working with structured trackers and dashboards.
