Personal Secretary
Position Overview
- The Personal Secretary to the Managing Director will provide comprehensive executive and administrative support to the MD, ensuring the smooth and efficient management of the MD's office. The incumbent must demonstrate the highest levels of professionalism, discretion, and organisational ability, serving as the primary point of contact between the MD and internal and external stakeholders.
Key Requirements
- Work Location: Sri Lanka (Head Office)
- Experience: Minimum 10 years as a Personal Secretary, Executive Assistant, or in a senior administrative role
- Education: Bachelor's degree in Business Administration, Management, or a related discipline; secretarial or administrative certification an advantage
- Language: Fluent in English (written and spoken); Sinhala / Tamil proficiency required
- Computer Skills: Highly proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); document management systems
- Age: 30 to 45 years
Responsibilities
- Manage the MD's calendar, schedule meetings, appointments, and travel arrangements efficiently
- Screen, prioritise, and respond to correspondence, calls, and emails on behalf of the MD
- Prepare and proofread confidential reports, presentations, letters, and Board-level documents
- Coordinate and minute high-level internal and external meetings, following up on action items
- Liaise professionally with clients, government officials, BOI representatives, and senior management
- Maintain organised filing systems for confidential records, contracts, and corporate documents
- Assist in the preparation of investment proposals, tender submissions, and stakeholder communications
- Handle travel logistics including visa applications, accommodation, and itinerary coordination
- Exercise absolute discretion and confidentiality in all matters relating to the MD's office
